FFBC Club Meeting Minutes–August 3, 2006

New Members and Guests
New members and guests introduced themselves.

Minutes
July meeting minutes were accepted.

Membership
Dave Ransom reported that the club has more than 400 members.

Ride Coordinator
Ron Mitchell advised that more than 200 members are signed up on Yahoo Groups. However, the club has more than 400 members, and many have not taken advantage of this service.

The August calendar has a good selection of rides. Ron will be out of town for two weeks in August and asked for early input for the September calendar. Mike Northrup will send reminders to club members while Ron is gone.

The club needs rides for the club picnic on September 17. Ron suggested that one of the picnic rides be a family fun ride.

Race Team
Richard Brockie reported that Race Team member Chris Coble attended Super Week and raced in about half the events. Chris participated as a Cat 2 racer. After the races, he found out that he has mononucleosis. Richard has already set goals for next season.

Susan Lucchesi announced the following candidates for 2006-2007 Board positions:

Bonnie Kellogg will coordinate the Cinderella training rides, and Jean O'Donnell will be the Cinderella Ride Leader Coordinator.

John Goeschl will help Jamie Hyams with her duties as Primavera chair.

Ed Tanaka will handle club clothing sales.

Susan will handle refreshments for club meetings.

Treasurer
Sydney Friedenberg gave the treasurer’s report.

Member Outreach
The club sent cards to a few members in July.

Club Picnic
Karen White reported that the Board had volunteered to chair the club picnic scheduled for September 17. The picnic will be catered by Armadillo Willy’s. Rides will be scheduled for the picnic. There will be a charge of $5.00 per participant.

Holiday Party
Susan volunteered to chair a committee to coordinate the club’s annual holiday party.

Program
Kulmohan Sangha, a Doctor of Chiropractic, gave an informative presentation during which he demonstrated some of the tools used in chiropractic treatment.

Minutes
The July 2006 Board Meeting minutes were approved.

Non-Members on Club Rides
The club must keep waivers signed by non-members participating in club rides. Karen will ask the insurance company how long the club must keep them.

A number of non-members have signed the front, rather than the back, of the ride sign-in sheet. The sign-in sheet should include a note indicating that the front is for members who have signed a release like the one on the back. Mike will draft a note to add to the sign-in sheet. Mark Davis has information on which non-members have signed the front of the sign-in sheet. Mark should be involved in identifying these riders.

It was suggested that new members receive 1-2 pages of club information.

Club Picnic
The site at Alum Rock Park has been arranged. Sally advised that, at previous picnics, the club has supplied drinks, ice, coolers, chips, pretzels and desserts. These items would be considerably more expensive if supplied by the caterer. The agreement with the caterer should include a provision covering what would happen in the event that the park is closed on September 17.

Holiday Party
At the membership meeting, Karen will ask for a chairperson and committee to take responsibility for arranging the club’s holiday party.

Ride Coordinator
The club has a good selection of rides for the August calendar. The club needs rides for the September calendar. Ron will be on vacation for part of August. While Ron is gone, Mike will send club members reminders to submit September rides.

The Board gave approval for Ron to have access to the club database. This will help him determine who is eligible for Ride Leader Incentives.

Celebrate Fremont
Gene Toy sent Mike 4-5 pages of information on the event and is looking for some kind of active participation from the club. Mike will be out of town on the weekend of the event, September 9-10, 2006.

Race Team
Richard reported that some prospective Race Team sponsors are not interested because the club is not tax-exempt. However, the club does not really fit any of the stated purposes of tax-exempt organizations. The Race Team could be tax-exempt if it was not part of FFBC. However, that would mean that the Race Team would not have access to FFBC volunteers, financial resources, etc. It was suggested that the FFBC tax accountant be asked for input on the possibility of attaining tax-exempt status for the Race Team.

Some Race Team members have not joined the club, and Richard has reminded them to do so. Richard suggested that the club membership form be modified to include an option to join the Race Team. The result would be a single form and payment for joining the club only or the club and Race Team.

September Program
The club needs a program for the September meeting.

Treasurer
Sydney reported on the club’s finances.

Sally advised that Logan High School had sent the club a bill for the Primavera. Sally has asked for clarification of what the bill is for.

Sydney will send Richard a report of expenses for this year’s criterium race.

2006-2007 Elections
The Nominating Committee has identified a slate of officers. The slate will be announced at the membership meeting.
