BOARD MEETING MINUTES
FFBC BOARD MEETING
DATE: November 4, 2010
ATTENDANCE
Gary Smith (President), Dale Bodtker (Vice President), Conni Smith (Secretary), Terri Yi (Treasurer), Egbert Vallecillo (Director-at-Large), Garry Birch (Race Team), Jorge Gildelatorre (Ride Coordinator) and Vicki Timmons (Cinderella Training Coordinator)
CALL TO ORDER / MINUTES
Gary Smith called the Board Meeting to order at 6:30 PM. Minutes for the October board meeting were approved.
TREASURER REPORT
Terri Yi reported balances for the three bank accounts: Bank of America checking, Bank of America CD and Fremont Bank CD. She will post them in the Yahoo group for member review.
Following a review of current expenses and anticipated revenue, Terri suggested that the new budget maintain a minimum base and have budgeted income and expenses break even. To do that she recommended keeping the Primavera’s $10,000 income in the budget despite not yet having an event coordinator and by reducing various line item expenses, i.e. clothing, activities (including Silliman Center rental), donations and Race Team sponsorship. The Board discussed and agreed to make these reductions to the proposed budget being presented to the members later that same evening.
RACE TEAM
Garry Birch announced several items:
(1) a new soft-shell bike carrier was donated for club member use;
(2) Leopard Cycles donated a time trial frame to the Race Team and currently has time trial bikes available for testing at Cycle Pros in Pleasanton;
(3) Leopard is also offering all types of Leopard frames to club members at a 50% discount, plus components purchased through Leopard at wholesale plus 10%, with purchase of a frame;
(4) two upcoming race team events: Calaveras time trial, April 9, 2011 and Altamont team time trial, July 9, 2011.
CINDERELLA TRAINING
Vicki Timmons, chairperson for the Cinderella training program, updated the Board on plans for the ride series. Ride leader recruitment has been slow. She plans to offer a $25 subsidy to leaders and a comprehensive ride leader training course offered by Cycle Pros of Pleasanton. Vicki assured the Board there would be no cost to the Club for this self-supporting program. The Cinderella Training website is up and running on FFBC.com; program registration is through active.com. Trainees may also purchase specially designed vests.
The meeting adjourned at 7:30PM.

MISCELLANEOUS
Egbert Vallecillo informed members that a soft-shell bike carrier recently donated to the club is now available for loan. Egbert also requested members provide him with information on FFBC Club and Race Team sponsors who should be listed on a new FFBC brochure he is creating.
Garry Smith informed the members that the Primavera still needs planning coordinators.
TREASURER REPORT
Terri Yi reported balances for the three bank accounts: Bank of America checking, Bank of America CD and Fremont Bank CD. She will post these amounts on the FFBC Yahoo group for members to access and review.
Terri distributed the proposed 2010-2011 budget and discussed changes made by the Board earlier that evening due to an expected $10,000 shortfall in income if the Primavera is not held next year. These included reductions to line items for clothing, activities (including Silliman Center room rental), donations and Race Team sponsorship. A $7,000 shortfall still remains without income from a Primavera event in 2011. She informed members that the Board agreed to maintain a break-even budget (income balanced with expenses) and to keep a certain minimum account balance. Following discussion the members approved the budget as presented. The final budget is posted on the FFBC Yahoo group.
