BOARD MEETING MINUTES
FFBC BOARD MEETING
LOCATION: Fremont Cultural Arts Center
DATE: April 12, 2011
ATTENDANCE
Gary Smith (President), Dale Bodtker (Vice President), Terri Yi (Treasurer), Conni Smith (Secretary), Egbert Vallecillo (Director-at-Large), Jorge Gildelatorre (Ride Coordinator)
CALL TO ORDER / MINUTES
Gary called the Board Meeting to order at 6:30pm. Minutes for the previous meeting in February were approved.
TREASURER REPORT
Terri Yi reported:
- The latest balances for the three accounts (Bank of America checking, Bank of America CD and Fremont Bank CD) will be posted on the Yahoo Group for member access and review.
- Cinderella Training income and expenses are not yet finalized, but it appears the program will make a profit.
- Terry suggested revising the formal current club budget since the Primavera was not held this year and the current budget includes sizeable income and expenses for that event. After discussion it was decided to publish a revised budget after the May board meeting.
- Terri also suggested having a Club event benefiting FFBC members, as money is available in the Activities budget. The Board discussed using this opportunity to celebrate the highly successful April 10 Primavera Club Ride that was organized by Andy Sass and supported by many volunteers and to present awards to the 2010 Pedal Pounder leaders. Gary Smith suggested asking Robin O’Hara, Member Outreach Chairperson, to organize this event. [The decision to proceed with this was made at a later date.]
RACE TEAM
Garry Birch was not in attendance, but Gary Smith reported there was a good turnout for the Team’s April 9 time trials in Sunol.
MISCELLANEOUS
PRIMAVERA CLUB RIDE: Organizer, Andy Sass, presented the final income/expense statement with a profit of $107.67. There were 89 paid riders, 49 of which were non-FFBC members. The Board thanked Andy for his initiative and hard work on this wonderfully successful project.
PAYPAL: Conni Smith reported on the possibility of using PayPal to electronically collect membership dues next year. Paying dues through PayPal is feasible at minimal cost, but it does not provide an electronic way to obtain the required membership application and waiver form. This form is required from both new and renewing members. The Board was skeptical this method would work for FFBC.
BOARD MEMBERS: Gary Smith asked the Board members to report by the next meeting in May whether they intend to continue in their position on the Board (or would like a different position) for another year.
The meeting adjourned at 7:25 pm.
FFBC GENERAL MEETING
CALL TO ORDER / MINUTES
Gary Smith called the General Meeting to order at 7:30pm. Meeting minutes for February were approved. Late arriving guest, Fred Proudman, was introduced.
TREASURER REPORT
Treasurer Terri Yi reported balances for the three accounts: Bank of America checking, Bank of America CD and Fremont Bank CD. She will post them in the Yahoo group for member access and review.
MEMBERSHIP REPORT
Vanessa O’Donnell reported the current number of members (320) and memberships (244). She also brought up the question whether young riders, in addition to having the signed liability waiver, require a parent or guardian in attendance during a club ride. Nothing in the waiver mentions this as a requirement and the Board agreed it should be up to the ride leader.
RACE TEAM
Please see the Race Team news mentioned in the Board Minutes.
RIDE COORDINATOR
Jon Graff won the Ride Leader Incentive drawing for February and Joy David won for March. They will receive a $25 Bicycle Garage gift certificate.
DIRECTOR AT LARGE
Egbert Vallecillo announced that instructions for packing the bike carriers available on loan from the FFBC, will be posted on the Files section of the Yahoo Group.
Egbert promoted the June 12 Tour de Cure, a charitable cycling event for diabetes. Both he and Cindy Maxwell will be riding.
Egbert also volunteered to modify the club’s ride sheets to include cell phone numbers in addition to an emergency contact number. He will send this to Mark Davis to be posted on FFBC.org.
No program was planned for this meeting, though Wynn Kageyama discussed several topics including a 900-lumen flashlight he uses as a bike headlight and bicycle safety on the streets.
The meeting adjourned at 8:40 pm.
